Privacy Policy

本方針は、当ルームの個人情報の取り扱いについて英語で説明するものです。 (This policy explains the handling of personal information in English.)

At Therapeutic Conversations in Japan, I take your privacy as seriously as our work together. I want to be clear about how I handle your information.

Collection of Information

I collect minimal information (such as your name, contact details, physical address, and emergency contact) strictly to provide counselling services and ensure your safety during our calls. For every session, I’ll confirm your location so I can coordinate with your emergency contact or local services (119/110) if an emergency happens.

Security & Storage

I use professional-grade, encrypted telehealth and documentation platforms to host our calls and store my records. I keep clinical notes in a secure, encrypted digital environment.

  • Note on Email Security: Please be aware that standard email is not 100% secure. I’ll include relevant email exchanges in clinical notes to keep your file complete. However, if there is something highly sensitive you don’t want saved in your file, let's save that for our conversation.

Disclosure to Others

I will not share your information with anyone else without your permission, except in these specific cases:

  • Safety: If there is a duty to report danger to a child or vulnerable adult, or if someone is at risk of significant harm.

  • Legal: If legally required.

  • Consultation: To give you the best support, I occasionally discuss my work with trusted professional peers. I am committed to your privacy, so I leave out names and identifying details during professional consultations. I use encrypted tools and follow strict professional protocols to protect your identity.

Your Rights

You have full agency over what you choose to share in our sessions. At any point, you’re welcome to pass on a question, say you aren't sure, or decide we’ve gone as far as you want to go for the day. I work for you, which means you have the right to end our professional relationship whenever you feel it’s time.

 

You also have the right to access your clinical records (I’ve outlined the process and the administrative costs for preparing those files in my practice Appendix).
